Information on the processing of personal data for business partners and customers
KOVOP, spol. s r.o., Kněžpole 110, 687 12, Czech Republic, Company ID No.: 25553925, VAT ID No.: CZ25553925 (hereinafter “KOVOP”), as the controller of personal data, hereby informs about the manner and scope of personal data processing with regard to the General Data Protection Regulation (hereinafter “GDPR”) of the European Union.
The aim of the document is to provide you with information about what personal data we collect, how we handle it, from what sources we obtain it, for what purposes we use it, to whom we may provide it and where you can get information about your personal data that we process.
What personal data do we process and how do we obtain it?
We process personal data of our business partners and customers to the following extent:
- identification data: name and surname, company ID No., VAT ID No.,
- contact information: address of residence, delivery or other contact address, telephone, email address,
- other personal data: bank account number, payment data and other personal data arising from a specific contract or the law.
We obtain personal data primarily from you, especially when concluding a contract and during a contractual relationship.
How do we use your personal data?
We collect and process your personal data only for the specified purpose and use it mainly for:
- conclusion and performance of contracts and provision of services,
- communication with you,
- informing about changes and news in the services we offer (legitimate interest),
- fulfilment of a legal obligation,
- accounting and tax purposes,
- keeping customer records.
Personal data for these activities is processed to the extent necessary for the performance of these activities and for the time required to achieve them or the time directly stipulated by the law. Afterwards, the personal data is deleted or anonymized.
To whom do we provide your personal data?
In addition to our company and its employees, personal data may also be processed by other processors for the above purposes. The processors or recipients of personal data are in particular:
- Minerva Česká republika (provider and administrator of the information system),
- Trumpf (provider and administrator of the information system),
- tax advisor to the company.
On the basis of a legal request, personal data may be transferred to third parties that have the legal power to request the transfer of the personal data in question.
What are your rights?
In connection with the processing of your personal data, you have:
- the right to clear, transparent and comprehensive information about how we use your personal data and what your rights are (this document also serves for this purpose),
- the right to access personal data and to provide other information related to their processing by KOVOP,
- the right to correct incorrect and incomplete personal data,
- the right to delete your personal data, especially if (a) it is no longer needed for further processing; (b) you have revoked your consent to its processing; (c) you have legitimately objected to its processing; (d) it was processed illegally; or (e) it must be deleted in accordance with the law,
- the right to restrict the processing of your personal data, if (a) you challenge the accuracy of your personal data until we verify its accuracy; (b) processing is unlawful; (c) we no longer need it, but you need the data for the purpose of asserting your legal claims, or (d) you object to its processing until we verify that our legitimate reasons outweigh your interest,
- the right to object to the processing of your personal data if we process it (a) for the purposes of direct marketing or (b) for the purposes of our legitimate interests,
- the right to obtain your personal data and transfer it to another service provider,
- the right to withdraw the consent to the processing of personal data at any time,
- the right to lodge a complaint with the Office for Personal Data Protection.
How do we protect your personal data?
To ensure the security and confidentiality of your personal data, which is very important to us, we use technical and organizational measures, especially to protect us against unauthorized access to data and their misuse and to ensure the security of our IT systems. Where appropriate, we use encryption to protect your data.
